Example: an installation company fitting a heat pump
Installation company De Vries gets a request to install a heat pump for a residential customer. Here's how that request automatically flows through Odoo from quote to project to invoice.
-
1. Quote
The salesperson draws up a quote in the Sales app. For the heat pump itself, they pick the capacity, the colour of the outdoor unit and an optional wifi module through a product configurator — with every choice, Odoo automatically works out the right price and assembles the matching bill of materials, even across hundreds of possible combinations, with no separate pricelist needed per variant. As soon as the customer approves it online, the order is confirmed.
Feature Selected option Model Heat pump 8 kW, air-to-water Capacity 8 kW Outdoor unit colour Anthracite (RAL 7016) Wifi module Yes, incl. app connection -
2. A project with tasks, automatically
On confirmation, Odoo automatically creates a Project with the matching tasks (intake, installation, handover). The planner assigns a technician and a date.
-
3. Hours and materials per project
The technician logs their hours through the Timesheets app on their phone, and the materials used (piping, refrigerant, the unit itself) are deducted from Inventory straight onto the project — giving an exact picture of what a job actually cost.
-
4. Progress and planning
The schedule for every technician is visible in one overview, including any delay or a rush job that needs to be slotted in.
-
5. Post-calculation and invoicing
After handover, Odoo automatically totals the logged hours and materials used and turns that into the final invoice — including a clear overview of budgeted versus actual.
Cost item Budgeted Actual Materials €1,850 €1,790 Installation hours 14 hrs 15.5 hrs Total €2,940 €3,015
The result
From quote to final invoice, everything runs through the same project: planning, hours, materials and invoicing are all linked, and the post-calculation is automatic. An extra checklist for, say, an inspection certificate is just added to a task.
